One reference for the material trade record
MANIDASO is introducing a structured trade-reference system to improve the identification and administration of governed trade activity.
Each accepted trade case will be assigned a unique MANIDASO reference.
The reference is intended to connect the relevant activity and records so that buyers, suppliers, operators and authorised reviewers can identify the same trade without relying on fragmented emails, messages or unrelated document names.
What a Trust File may contain
Subject to access permissions and the requirements of the trade, a Trust File may contain:
- Trade and route information
- Buyer and supplier records
- Participating organisations
- Product and quantity information
- Verification requests and outcomes
- Supporting evidence and documents
- Payment conditions and events
- Movement plans and checkpoints
- Delivery confirmations
- Exceptions, disputes and resolutions
- Administrative decisions and audit events
Not every Trust File will contain every type of record.
Reference structure
A MANIDASO trade reference identifies the governed trade case. It should not be confused with:
- A purchase-order number
- An invoice number
- A payment-provider reference
- A carrier tracking number
- A customs reference
- A guarantee or certification mark
External references may be recorded within the Trust File where relevant.
Status and authority
The existence of a MANIDASO reference confirms that a record has been created. It does not by itself confirm that a trade has been approved, funded, dispatched, delivered or completed.
The current Trust File status must be checked before a participant relies on the reference.
Examples of status may include:
- Intake received
- Under review
- Verification pending
- Conditionally approved
- Payment structure pending
- Movement authorised
- In transit
- Delivered
- Disputed
- Completed
- Closed without progression
Record integrity
Changes to material trade information should be recorded rather than silently replacing the historical record.
This allows MANIDASO to preserve an appropriate history of what was submitted, reviewed, approved, amended and completed.
Access to Trust File information will be restricted according to role, authority, confidentiality and applicable data-protection requirements.
